MS Word
MS Word is a word processor, which is a software application used to type, edit, format, and print text documents. MS PowerPoint

In the classroom, PowerPoint serves as a digital blackboard. Teachers use it to build engaging visual aids that accompany their verbal lectures. MS Excel

Excel is fundamentally a mathematical tool. It features built-in formulas and functions (such as SUM to add numbers, or AVERAGE to find the middle value). If you change one number in the grid, Excel automatically updates all related calculations instantly. Teachers use Excel extensively for administrative tasks, primarily to manage attendance trackers, calculate terminal grades, and create visual data charts like bar graphs to track student progress over time.

A class teacher types the monthly math test scores of 40 students into an Excel sheet. Instead of spending hours with a calculator, the teacher uses the AVERAGE formula to instantly find the class average, and the SUM formula to calculate each student's total marks for the term-end report card.

MS Access
MS Access is a database management system (DBMS). While Excel is used for calculating numbers, Access is designed to securely store, link, and retrieve large amounts of complex information.
Think of a database as a massive digital filing cabinet. Access uses "tables" to store data, "queries" to search for specific information, and "forms" to enter new data easily. In schools, Access is used to build comprehensive student information systems, tracking details like home addresses, emergency contact numbers, medical histories, and library book loans in one centralized place.

A school principal needs to contact parents immediately due to a sudden school closure. Using the school's MS Access database, the principal runs a quick "query" to filter all students who travel by school bus route number 5 and instantly prints out a report of their parents' mobile numbers.

MS Publisher
MS Publisher is a desktop publishing application. While MS Word is focused on typing text, MS Publisher is focused on page layout and visual design. It provides users with precise control over exactly where images, borders, and text boxes sit on a page.
Publisher comes with hundreds of ready-made templates. It is the ideal software for creating visual documents that need to look professionally designed but do not require heavy text typing. Schools use Publisher to create colorful monthly newsletters, bulletin board posters, event invitations, and student awards.
Example
The cultural committee teacher uses an MS Publisher template to design attractive certificates for the winners of the Annual Sports Day. They easily drag and drop the school logo onto the page, add a decorative border, and print them out on thick paper.
